Release Summary

Canteen Department

The Canteen module has been enhanced with a complete Walk-In Sales and Inventory Management workflow for managing stocked products, non-stocked services, sales, and inventory.

Users can now create and manage stocked products and services, process walk-in sales, make immediate payments, or save bills as drafts for later completion. The Inventory section supports receiving stock, adjusting quantities, viewing stock history, monitoring current stock levels, and tracking expired products.

The Canteen also supports CSV import for setting up multiple stocked products and maintains synchronised inventory records with the Store Department. Stock created or updated in either department is reflected across both, helping maintain accurate and consistent inventory levels.

General 

The Doctor Commission Referrer Enhancement improves referral and commission management across Administration, Laboratory, Radiology, and Cashier by linking hospital information to referrers and automatically carrying it through the request and billing process.

When a referrer is selected during a Laboratory or Radiology Walk-In Test, the linked hospital is automatically populated under the requesting hospital, and users can update it when necessary. The referrer and hospital details are carried through billing and commission processing and reflected in the Commission Payout report, making referral commissions easier to track and manage.

Laboratory / Radiology / In-House

The Result Entry History feature has been introduced to provide a complete audit trail of investigation result entries across Laboratory, Radiology, and In-House investigations.

Users can now review and track result activities, including new entries, deleted parameters, and re-entered results, with each activity recorded for traceability. The history can be filtered by Test Name, Parameter, or Entered By, making it easier to locate specific changes and monitor who entered or modified investigation results. Deleted parameters remain visible in the history, while re-entered parameters are recorded as new entries without removing previous records, ensuring a complete and permanent history of result changes.

Laboratory / Radiology

The Walk-In Test Request process has been enhanced to capture more complete information during Laboratory and Radiology requests.

Users can now select a Bill Template, record external referrers, specify the clinical history or reason for investigation, and add multiple secondary email addresses for receiving test results. Secondary email addresses entered during the request are automatically carried to the Send via Email option, while additional addresses can still be added before sending.

These enhancements provide better request documentation, billing flexibility, referral tracking, and result delivery across Laboratory and Radiology.

Feature Overview

The Canteen module enables users to manage stocked products and non-stocked services, process walk-in sales, manage inventory, receive stock, perform stock adjustments, monitor stock levels, and maintain synchronised inventory records with the Store Department.

Feature Behavior

  1. Walk-In Sales displays all stocked products, out-of-stock products, and non-stocked services available for billing.

  2. Bills can be paid immediately or saved as drafts for later payment.

  3. Draft bills are stored under the Drafts tab on the Walk-In Sales page.

  4. Products and services created through the Setup menu become available for billing in Walk-In Sales.

  5. Inventory features allow users to receive stock, adjust stock levels, monitor stock history, view current stock levels, and track expired products.

How to Use Walk-In Sales

  1. Log in as a user with access to the Canteen module.

  2. From the left navigation menu, click Walk-In Sales.

  3. The page displays all available stocked products and services.

  4. Search for and select the required product or service.

  5. Add the selected item(s) to the bill.

  6. Choose one of the following:

  7. Pay to proceed with payment.

  8. Draft to save the bill for payment later.

  9. If the bill was saved as a draft, open the Drafts tab, select the draft, and click Resume.

  10. Complete the payment to generate the receipt.

Heads-up: All draft bills are stored under the Drafts tab until payment is completed.

How to Set Up Products (Stocked)

  1. Navigate to Setup → Products (Stocked).

  2. Click New to create a new stocked product.

  3. Enter the required product details.

  4. Click Save.

Alternatively:

  1. Click Upload CSV to import multiple products.

  2. Download the provided CSV Template before preparing the import file.

Heads-up: All stocked products created are automatically available under Walk-In Sales.

How to Set Up Services (Not Stocked)

  1. Navigate to Setup → Services (Not Stocked).

  2. Click New.

  3. Enter the required service details.

  4. Click Save.

Heads-up: Services are available for billing in Walk-In Sales but are not managed as inventory items.

Inventory Management

Navigate to Inventory from the left navigation menu.
The Inventory menu provides the following functions:

Stock Adjustment

  1. Adjust the available stock quantity for stocked products.

Product History

  1. View the complete stock movement history, including previous and current stock levels.

Receive Stock

  1. Click Receive Stock.

  2. Locate the required product.

  3. Click the Receive icon beside the product.

  4. Enter:

  5. Quantity Received

  6. Batch Number

  7. Expiry Date

  8. Click Receive Stock.

Current Stock Level

  1. View the available quantity of all stocked products.

Expired Products

  1. View products that have reached or passed their expiry date.

Store Department Integration

The Canteen and Store departments share synchronised inventory records.

  1. Stocked products created in the Canteen are automatically available in the Store Department.

  2. Products received, adjusted, or updated in the Store Department are reflected in the Canteen.

  3. Likewise, inventory transactions performed in the Canteen are synchronised with the Store Department, ensuring both departments maintain consistent stock levels.

    This enhancement allows hospital information to be linked to a referrer and automatically used during Laboratory and Radiology walk-in requests. Referrer details are carried through billing and reflected in the Commission Payout report.

    1. Hospital details can be added when creating a referrer.

    2. A selected referrer automatically populates the linked hospital during Walk-In Test requests.

    3. Users can select or update the requesting hospital when required.

    4. Referrer details are reflected in commission processing and payout reports.

    How to Use:

    Set Up a Referrer

    1. Navigate to Administration → Setup & Configuration → Setup Referrers.

    2. Click New.

    3. Enter referrer details, including the hospital.

    4. Click Save.

    Create Laboratory/Radiology Request

    1. Navigate to Laboratory/Radiology → Walk-In Test.

    2. Select the patient.

    3. Select the referrer.

    4. The linked hospital will automatically populate under Requested From.

    5. Select the required tests and click Send to Revenue.

    View Commission Payout

    1. Navigate to Administration → Operational Reports → Commission Payout.

    2. Search for the referrer.

    3. View the commission details.

    Heads-up:

    When a referrer is created with an assigned hospital, selecting that referrer during a Walk-In Test will automatically populate the hospital. Users can still change or add a different requesting hospital if needed.


    New Feature: Result Entry History

    Feature Overview

    The Result Entry History feature provides a complete audit trail of all result entries made during investigations. It allows users to view, filter, and track changes to investigation results, including when parameters are added, removed, or re-entered across Laboratory and Radiology investigations.

    Feature Behavior

    1. A Result Entry History option is available on the Perform Investigation page.

    2. All result entry activities, including additions, deletions, and re-entries, are recorded automatically.

    3. Users can filter history by Test Name, Parameter, or Entered By.

    4. Deleted parameters remain in the history with their removal status for audit purposes.

    5. Re-entered parameters are logged as new history records while preserving previous entries.

    6. The feature is available for Laboratory, Radiology, and In-House investigations.

    How to Use

    1. Create an investigation request and complete payment for the test.

    2. Open Laboratory or Radiology → Perform Investigation and enter the investigation results.

    3. Click Save.

    4. Click the Result Entry History icon at the top-right corner of the result entry page to open the history window.

    5. Use the Test Name, Parameter, or Entered By filters to locate specific history records.

    6. Review the history to view all recorded activities, including result entries, deleted parameters, and re-entered values.

    7. If a parameter is deleted or re-entered, refresh the history to view the updated audit trail.

    Heads-up: Result Entry History maintains a permanent audit trail of all result entries, ensuring every addition, deletion, and re-entry is available for review and traceability.

    Feature Overview

    The Walk-In Test page has been enhanced to capture additional information during test requests. Users can now select a bill template, specify external referrers, record the clinical history or reason for investigation, and add multiple secondary email addresses for sending test results.

    Feature Behavior

    1. A Bill Template field has been added to the walk-in request form.

    2. An Other Referrer field allows users to capture external facilities or doctors.

    3. A Clinical History / Reason for Investigation field captures relevant patient information.

    4. A Secondary Email section allows users to add additional email addresses for receiving test results.

    5. Secondary email addresses are automatically included when sending results and can also be added before sending.

    6. Test results are sent to the patient's primary email and configured secondary email addresses.

    How to Use

    1. Open Laboratory or Radiology → Walk-In Test.

    2. Search for and select an existing patient, or register a new patient.

    3. Search for and add the required investigation(s).

    4. Select the Test Request Type:

      Complete the following fields:

    5. Requested by Medical Centre

    6. Referrer

    7. Requested From

    8. Requested By

    9. Bill Template (optional)

    10. Personal Request – Complete the following fields:

    11. Bill Template (optional)

    12. Other Referrer (optional)

    13. Clinical History / Reason for Investigation (optional)

    14. Secondary Email(s) (optional)

    15. Review the billing details and click Send to Revenue.

    16. After the investigation is complete, open the Print page and select Send via Email.

    17. Verify that any secondary email addresses entered during the request are automatically populated. Add more email addresses if required, then send the results.

    Heads-up: Enter multiple secondary email addresses by separating them with commas. Test results are sent to the patient's primary email address as well as all configured secondary email addresses.
