Release Summary

General: Improvements have been introduced across Administration, Laboratory, Radiology, and Cashier to improve the management and processing of doctor and referrer commissions.

  1. Commission Setup: Facilities can now configure doctor commissions based on per-patient or per-day arrangements and set commission rates for referrers using either fixed amounts or percentages.

  2. Service-Based Commissions: Referral commissions can be assigned to specific Laboratory and Radiology services, ensuring commissions are only generated for eligible services.

  3. Automatic Calculation: Commission amounts are automatically calculated once the patient's bill is paid, reducing manual calculations and improving payout accuracy.

  4. Commission Reporting: The Commission Payout report has been improved to provide details of referrers, services, commission amounts, and payouts for easier tracking and reconciliation.

    General: Improvements have been introduced to the Appointments module to improve appointment visibility, patient activation, and coordination across Records, Doctors, and Nurses.

    1. Appointment Views: Added Calendar View alongside the existing List View, giving users more flexibility when viewing appointments.

    2. Patient Activation: Improved the appointment-based patient activation process, allowing Records users to activate patient folders directly from appointment records.

    3. Doctor & Nurse Access: Doctors and Nurses can now view appointments created in the system, while appointment modification remains restricted to authorised users.

    4. Doctor Notifications: Added an appointment notification banner to the Doctor Dashboard to improve visibility of appointment updates and upcoming appointments.

    5. Workflow Improvements: Improved the consistency of appointment workflows across different user roles while maintaining the existing appointment management process.


      Administration Department: Improvements have been introduced to the Administration module to improve staff access control, commission management, automated SMS configuration, patient blacklist management, and Hybrid application security.

      1. Staff Privilege Management: Dispensary and Inventory access is now managed through role-based permissions instead of stock-related options on the user creation page. Administrators can also update these permissions for existing users.

      2. Doctors Commission: Commission management has been improved with support for per-patient and per-day doctor commissions, as well as fixed or percentage commissions for referrers. Commissions can be linked to Laboratory and Radiology services and are automatically calculated after payment. Commission payout reports are also available for tracking and printing.

      3. Auto SMS Management: The Setup Auto SMS interface has been redesigned to provide a clearer view of configured SMS templates. Administrators can now create, edit, enable, disable, and manage templates through a dedicated Manage Template window, including the use of dynamic @ placeholders and custom message content.

      4. Blacklisted Patient Management: A Blacklisted Patients report has been added under Administration, allowing authorised users to view blacklisted patient folders and unblock them when required.

      5. Hybrid Mode Access Control: Administrators can now control which staff members are allowed to access the Hybrid application through the Can Access Hybrid Link permission. The option is only available when Hybrid Mode is enabled, providing better control over Hybrid access while leaving standard application access unaffected.

        Records Department: Improvements have been introduced to the Records module to improve patient folder activation, appointment management, and the monitoring of restricted patient records.

        1. NHIS Subscriber Verification (2FA): Added a verification step during NHIS patient folder activation for facilities with 2FA enabled. Users can request and enter an OTAC to verify the patient's NHIS or Ghana Card details before activation. Facilities without 2FA continue to use the existing activation process.
        2. Appointment Enhancements: Improved appointment management by introducing List and Calendar Views, allowing Records users to activate patient folders directly from appointment records. Doctors and Nurses can now view appointments, while appointment management remains restricted to authorised Records users. An appointment notification banner was also added to the Doctor Dashboard.
        3. Blacklisted Patient Management: Added a Blacklisted Patients report under Administration, providing authorised users with a centralised view of blacklisted patient folders and the ability to unblock patients when required.

        Claims Department: The Claims Department has been enhanced to make claims vetting more flexible, efficient, and accurate.

        Users can now rearrange procedures, diagnoses, investigations, and medications during claim vetting, with a Reset option to restore individual sections to their original information when required. These improvements apply to both NHIS and Private claims without changing the existing vetting workflow.

        For NHIS claims, the system now automatically identifies the first diagnosis as the Principal Diagnosis and updates the Claims Summary with the appropriate GDRG and tariff based on whether the claim is Outpatient (OPD) or Inpatient (IPD). Additional diagnoses no longer overwrite the principal diagnosis, while invalid GDRG codes are prevented from generating incorrect tariff calculations.

        This release introduces new features and enhancements across Claims, Administration, Records, Appointments, and other general system areas. The updates improve claims processing, staff access control, appointment management, patient verification, commission handling, SMS configuration, and overall system usability.


        Features and Updates

        1. Claims Vetting Improvements

        Module: Claims
        Navigation: Claims Department → Vetting - NHIS / Vetting - Private

        Overview

        Claims vetting has been improved to make reviewing and updating claims faster, more flexible, and more accurate.

        Key Updates

        • Users can rearrange Procedures, Diagnoses, Investigations, and Medications during claim review.
        • Drag-and-drop is available across NHIS and Private claims vetting workflows.
        • A Reset option allows individual claim sections to be restored to their original information.
        • In NHIS claims, the first diagnosis is treated as the Principal Diagnosis.
        • The Claims Summary automatically updates with the corresponding GDRG and tariff when the Principal Diagnosis changes.
        • Additional diagnoses do not overwrite the Principal Diagnosis.
        • Invalid GDRG codes do not produce incorrect tariff calculations.

        How to Use

        1. Open a claim from Vetting - NHIS or Vetting - Private.
        2. Rearrange items within the required section by dragging and dropping.
        3. For NHIS claims, review the Principal Diagnosis and corresponding Claims Summary.
        4. Click Reset on a section to restore its original information when required.
        5. Continue with the existing claims vetting process.

        2. Manage Staff Privileges Enhancement

        Navigation: Admin → Manage Staff

        Overview

        Staff access management has been improved by moving Dispensary and Inventory privileges from user creation to the permission management setup.

        Key Updates

        • Removed User Can Alter Medication Stock and User Can Handle Stock from the Create User page.
        • Store assignment remains available when creating or editing users.
        • Dispensary and Inventory access is now managed through user permissions.
        • Existing users can have their permissions updated.
        • Updated permissions take effect after the user logs out and logs back in.

        How to Use

        1. Go to Admin → Manage Staff.
        2. Create or edit a user.
        3. Assign the required store, if applicable.
        4. Configure the user's Dispensary and Inventory permissions.
        5. Save the changes.
        6. Have the user log out and log back in.

        3. Doctors Commission Enhancement

        Module: General
        Navigation: Admin → Setup Commissions / Setup Referrers / Laboratory / Radiology / Cashier / Commission Payout

        Overview

        Commission management has been improved to simplify the setup, calculation, and tracking of doctor and referrer commissions.

        Key Updates

        • Doctor commissions can be configured Per Patient or Per Day.
        • Referrers can be assigned Fixed Amount or Percentage commissions.
        • Referral commissions can be linked to specific Laboratory and Radiology services.
        • Commission amounts are calculated automatically after payment.
        • Commission payout information can be reviewed and printed.

        How to Use

        1. Configure doctor commissions under Admin → Setup Commissions.
        2. Set up referrers and their commission types under Admin → Setup Referrers.
        3. Configure referral commissions for applicable Laboratory or Radiology services.
        4. Create a patient request and assign the appropriate referrer.
        5. Complete payment through the Cashier.
        6. Open Commission Payout to review the calculated commission.

        4. Auto SMS Message Management Improvement

        Navigation: Administration → Setup & Configuration → Setup Auto SMS

        Overview

        Automatic SMS management has been redesigned to provide a clearer view of configured templates and simplify template creation and maintenance.

        Key Updates

        • Configured SMS templates are now displayed in a summary table.
        • The table shows Message Type, Message, and Status.
        • Added a Manage Template option for creating and updating templates.
        • Added a Custom Template toggle.
        • Administrators can use @ to insert dynamic placeholders.
        • Templates can be enabled or disabled individually.
        • Multiple template changes can be made before saving.

        How to Use

        1. Go to Administration → Setup & Configuration → Setup Auto SMS.
        2. Enable or disable Custom Template as required.
        3. Review the existing SMS templates.
        4. Click Manage Template.
        5. Select the required Message Type.
        6. Enter or update the message.
        7. Use @ to insert available placeholders.
        8. Enable or disable the template as required.
        9. Click Save Template.

        5. Blacklisted Patient Report

        Module: Records / Administration
        Navigation: Records → Folder Archives / Admin → Patients → Blacklisted Patients

        Overview

        A new report provides a centralised view of blacklisted patient folders and allows authorised users to manage their access status.

        Key Updates

        • Blacklisted patient folders can be viewed from Blacklisted Patients.
        • Users can review currently blacklisted patients.
        • Authorised users can unblock patients when required.
        • Improves tracking and management of restricted patient folders.

        How to Use

        1. Go to Records → Folder Archives.
        2. Blacklist a patient folder as required.
        3. Navigate to Admin → Patients → Blacklisted Patients.
        4. Review the list of blacklisted patients.
        5. Click Unblock to remove a patient from the blacklist.

        6. Appointment Enhancements

        Navigation: Records Department → Appointments / Doctor → Appointments / Nurse → Appointments / Doctor Dashboard

        Overview

        Appointment management has been enhanced to improve appointment visibility, patient activation, and access for clinical users.

        Key Updates

        • Added Calendar View alongside the existing List View.
        • Records users can activate patient folders directly from appointments.
        • Doctors and Nurses can view appointments created within the system.
        • Appointment modification remains restricted to authorised Records users.
        • Added an appointment notification banner to the Doctor Dashboard.

        How to Use

        1. Open Appointments.
        2. Switch between List View and Calendar View as required.
        3. Records users can select an appointment and use Activate Patient to activate the patient folder.
        4. Doctors and Nurses can open their appointment pages to view scheduled appointments.
        5. Doctors can view appointment updates through the notification banner on the Doctor Dashboard.

        7. Control Hybrid Mode Access

        Module: Administration
        Navigation: Administration → Manage Staff

        Overview

        Administrators can now control which staff members are allowed to access the Hybrid application when Hybrid Mode is enabled.

        Key Updates

        • Added the Can Access Hybrid Link permission for facilities using Hybrid Mode.
        • Administrators can grant or remove Hybrid access for individual users.
        • Users without permission receive an Access Denied message when accessing the Hybrid application.
        • The option is displayed only when Hybrid Mode is enabled.
        • Hybrid access control does not affect access to the standard application.

        How to Use

        1. Ensure Hybrid Mode is enabled for the facility.
        2. Go to Administration → Manage Staff.
        3. Open the required user's profile.
        4. Enable or disable Can Access Hybrid Link.
        5. Save the changes.
        6. The user's Hybrid access will follow the configured permission.

        8. NHIS Subscriber Verification (2FA)

        Module: Records
        Navigation: Records → Activate Folder

        Overview

        Patient folder activation now includes an additional verification step for facilities using NHIS 2FA.

        Key Updates

        • NHIS or Ghana Card details are verified during folder activation.
        • Facilities with 2FA enabled require a One-Time Access Code (OTAC).
        • Users can request the code using Get Code.
        • Folder activation proceeds only after successful verification.
        • Facilities without 2FA continue using the standard activation process.

        How to Use

        1. Go to Records → Activate Folder.
        2. Search for the patient using the Patient Number.
        3. Click Activate.
        4. If 2FA is enabled, click Get Code to request the verification code.
        5. Enter the received OTAC in the verification dialogue.
        6. Complete the folder activation after successful verification.
